Inventory Manager 3.2

Version 3.2 now includes a Reports Module which we hope will be of benefit to all users.

However, the most important change in 3.2 is the way Customer Orders and Invoices are processed. Previous versions handled customer orders in three separate stages, (1)Order, (2)Delivery and (3)Invoice. This was of course very inconvenient if you just wanted to run off an invoice for a quick retail sale. Even for those users who did wish to process their orders in those separate stages the way the software moved between stages wasn't very intuitive.

In version 3.2 this has been simplified so that, for a quick invoice, the whole order/invoice process can be completed in a single action. One button saves/creates the order and prints separate delivery/invoice documents if required.

If, on the other hand, you do wish to create and save a customer order in one stage and split the delivery into a number of separate 'drops' then you can still do that but whereas in previous versions you had to process the delivery in one window and open another window for the invoice, these have now been rolled into one so that the delivery and invoice documents can be produced with a single button if required. Again, this is much easier to use and what most users are probably trying to do anyway. If you do wish to invoice some time after the delivery then you can print delivery and invoice documents at separate times, and as often as you wish, but the actual delivery and invoice dates are the same on the assumption that you'll invoice your customer as soon as you've completed the delivery.

You may have noticed that previous versions of the software did not actually save all the invoice data. It simply recorded the fact that an invoice had been produced as a means of identifying incomplete/complete customer orders. InventoryManager3.2 is not intended to replace your accounting systems but it is an improvement in that all invoice data is stored so that any time in future an old invoice can be viewed and reprinted with the same prices, discounts, tax rates etc as were on the original invoice.

Inventory Manager 3.2 is a major update which makes changes to your inventory database so, as with any update/installation procedure, you should make a backup of your data before installing. Your data file is called DBCYM.AXI - all you need to do is make a copy of that file. There really is no excuse for not making regular backups of your data.

Information for users of Multi User licenses and networked installations of InventoryManager3

During the installation procedure you can navigate to your networked/shared folder to install the update into the shared folder. Before doing that you need to ensure that all users have disconnected (closed any sessions of the Inventory Manager software). In some rare cases you may need to reboot the computers.

This upgrade is actually the whole installation package which contains an empty database. It does not overwrite your existing data but, as explained above, you might like to backup your original data before installing.

If you are using Windows Vista then we recommend installing the full install of 3.2 on each Vista computer at least once. After that you can continue with your usual update procedure (installing updates just into the shared folder)


How to use this update.
If Inventory manager is running on your computer then you need to close it before applying any updates.
Once you've applied the update check the version. If it doesn't show the new version then the update failed. You may need to reboot the computer where Inventory Manager is located before trying the update again. In a network where more than one user share the same program then all users need to exit the program before the upgrade can be applied and in some rare circumstances the computers may need to reboot before and/or after the update.
